Administration interface

The administration of Cordaware bestinformed is proceeded through a web front end.

Time settings (Active, Begin, End)

The time settings can be configured individually in the Info editor.

The following settings are available for usage:

  • Active: Time in which the Info will be available on the server.
  • Begin: Start of an Info.
  • End: End of an Info. (Can be used instead of Active)

Caption

The caption can inform about the creator of the Info, e.g. “Service Desk”.

Defining notifications in different languages

The possibility to define the notification text of an Info in different languages is available in Cordaware bestinformed. If the recipient uses an operating system in one of the defined languages, he will receive the message with the designated text. Otherwise the default Info text will be displayed.

Offline-Info (Client or servertime)

With the offline info settings you can set an info as “offline” so that clients which don’t have an active connection to the infoserver still receive the info. The Infoclient has to have an active connection to the server between the creation and the start of the info. You can also decide if the info uses the client or servertime for the start.

Hyperlinks

Hyperlinks can be added in every Info without any additional effort, regardless of using a ticker or pop up.

Templates

Infos, which are sent more than once in a while, can be saved as Templates. For better organization purposes Templates can also be summarized into Template groups, that cover certain themes (e.g. errors, general information, alarms, etc.).

Filter

Filter are a highly flexible opportunity for addressing clients. Every client connection to the Infoserver owns different attributes e.g. user name, computer name, IP address or the affiliation to a domain. With filters you can create rules in order to address only the users which fit the respective connection attributes (e.g. username contains “doe”). In addition those rules can be also used for creating groups.

Groups

With Groups you can summarize several filters into one group. Those can be used when defined the recipients of an Info.

Number of recipients

The amount of recipients of an Info can be viewed in the Info overview.

Canceling an Info

Active Infos can be canceled in the Info overview. If an Info is canceled, the depiction on the client will be terminated.

InfoToMail

In addition to Infos sent as ticker or pop up, certain groups can be optionally informed by email through the InfoToMail interface.

Supported usage of different time zones

The created Infos can be sent either using the time zone of the server or the time zone of the client.

Preview mode

With this setting you can enable a preview of a sent Info for the recipient. This preview will be shown at the right lower screen edge and won’t be displayed fully until the recipient clicks the preview.

Silent mode

Only an icon will be displayed in the task bar when the client device receives an Info while the silent mode is active. The user can can open the overview of the received Infos and let those display of his device for himself.

Display

Infos can be displayed as pop up (also full screen pop up).

Infos in presentation mode

If the client is in presentation mode (e.g. Microsoft PowerPoint), no Infos will be displayed. In this case it will be prevented, that error notifications will be displayed during a running presentation.

WYSIWYG editor

A modern WYSIWYG editor enables the adaptable and dynamic creation of Infos and Templates.

Time settings (Minutes, Active, Begin, End, Open End)

The time settings can be configured individually in the Info editor.

The following settings are available for usage:

  • Minutes: Time frame of an Info displayed on the client system.
  • Active: Time in which the Info will be available on the server.

Period

Periodic Infos are Infos, which will be displayed repetitively in a defined time frame at respective points of times.

Offline-Info (Client or servertime)

With the offline info settings you can set an info as “offline” so that clients which don’t have an active connection to the infoserver still receive the info. The Infoclient has to have an active connection to the server between the creation and the start of the info. You can also decide if the info uses the client or servertime for the start.

Editing/Copying/Canceling an Info

Active Infos can be edited, copied or canceled in the Info overview. This mechanism allows you to correct misspelled words in the Info after it has been sent to the Clients for example. Additionally Infos can be copied and edited in a really short time.

Creating an all clear Info

With the function All-clear you can additionally predefine an all clear text for your Info without much effort. The all clear can be sent with one click after a occurred troubleshooting has been solved successfully for example.
Advantage: Through the generation of a dynamic ID the all-clear will be only sent to those clients, which have received the prior information about the breakdown.

Caption

Precursory text, that will be shown at the end of the Info ticker while the Info is displayed on the Client.
The caption can inform about the creator of the Info, e.g. “Service Desk”.

Audit

All user activities combined with Cordaware bestinformed will be logged, if the Audit mode is enabled. This function can also be deactivated.

Number of connected Clients

The amount of Clients currently connected to the Infoserver will be displayed in the Dashboard.

Quickuser

The Info editor gives the opportunity to send Infos to individual users, so called Quick users.

Number of recipients

The amount of recipients of an Info can be viewed in the Info overview.

Filter

Cordaware bestinformed provides a function, which contains a special display option for the local info overview. The Infos in this overview can be recognized by a text-to-speech program, by which also visually impaired people can receive the Info. The user can open contained hyperlinks additionally, if the Info does so.

Templates

Infos, which are sent more than once in a while, can be saved as Templates. For better organization purposes Templates can also be summarized into Template groups, that cover certain themes (e.g. errors, general information, alarms, etc.).

Scenarios

In certain standard situations you can send a series of notifications with just a couple of clicks at the same time through scenarios. The opportunity to send a series of Infos with different contents, presentations and recipients is an essential feature of Scenarios. For example, you can provide different information for responsible persons than for end user when facing an IT related problem.

ScriptVars

ScripVars are used as placeholders in the Info text. The required values can be filled into the ScriptVars when using Templates in combination with standardized notifications, before sending them to the respective Clients. Infos, like a regularly server maintenance, can be created easier and faster through this feature in general.

Hyperlinks

Hyperlinks can be added in every Info without any additional effort, regardless of using a ticker or pop up.

InfoToMail

In addition to Infos sent as ticker or pop up, certain groups can be optionally informed by email through the InfoToMail interface.

MailToInfo

Emails can be sent to the Infoserver by using the MailToInfo interface, which will be displayed as an Info on the respective client devices of the defined recipient group.
Error notifications from event managers and database applications can be displayed as an Info therefore for example. A internally used ticket tool can also be connected to Cordaware bestinformed, so your employees can be informed fast and easy about new tickets. Another possibility can be the connection of a fire alarm control panel in order to send automatically created notification to the affected workplaces. If required, the screens of the affected clients can be locked additionally, which prevents unauthorized third parties to access the device.

Various display formats

Infos can be displayed as ticker (news-ticker) or pop up (also full screen pop up).

Environment variables

The Infos, which the client would receive in the defined period of time, won’t be displayed instantly on the screen. As a result, the appearance of Infos while holding a meeting for example will be restricted. The received Infos can be still displayed through the info history of the client at any time.

The Cordaware bestinformed® Alarm Edition is an extension of Cordaware bestinformed®. It provides additional features, which specifically aim at fulfilling sophisticated requirements for PC-based emergency alerts.

How does the Coradware bestinformed® Alarm Edition work?

On the occurance of a hazardous situation, the affected employee presses a key or a key-combination on the PC’s keyboard and immediately initiates a full-screen emergency alert. Instantly, the alert is displayed on every computer of the targeted recipient-group, for example the surrounding offices and the guard service. If desired, the alert can contain an acoustic alarm as well.

Discrete Alarm-Initiation

From the perspective of the initiator, the alarm is silent, meaning that the alarm is triggered imperceptible for other persons in the room.

Instant Acknowledgement of Receipt

Instantly after the alarm is triggered, a status-window is shown to the initiator, displaying the number of recipients and the number of confirmations. This way, the initiator can rest assured that the alert was recognized and that help is on its way. The instant acknowldegement of receipt supports the initiator to remain calm and to psychologically master the situation.

All-Clear Notification per Keystroke

In case the hazardous situation is resolved, the initiator of the alarm can post an all-clear message. This all-clear message can be displayed as a banner instead of a full-screen message.

Remote / Emergency transmitter

We receive more and more requests about a wireless device to initiate a silent alarm with a remote. The usage of Alert USB Buttons

The main advantage of Alarm Edition lies in the triggering of an alarm per keystroke. Alarms can be initiated by pressing a key or key combination, unnoticeably. For example, employees, who feel threatened, are able to trigger alarms unnoticeably while acting like they were working on their computers. Using some sort of buttons under the desk can be quite noticeable, compared to pressing a key or key combination. But considering the amount of requests for these alarm buttons, we tested two different external USB buttons which can be used together with Alarm Edition. Please note that the vendors listed below offer hardware from different manufacturers and that Cordaware does not assume any guarantee and liability for the functionality of the offered hardware.

The Alarm App

The Cordaware Alarm App offers different ways to realize your alerting conecpt quickly and effortlessly.

Step One: Management of the resources

When managing the resources you have the possibility to automatically import them based on your Active Directory. Resources can also be created manually or via a network scan.

Import of resources based on your Active Directory

Existing resources can be imported easily and the computer to room relations are created automatically. Those will be defined by domain attributes for example.

Generate resources manually / network scan:

There are two ways in which you can manage your resources:

1. List import

You can import rooms and computers into the Alarm App via lists.

2. The network scan

You also have the possibility to import resources via a network scan.

Step two: Managing room assignments

In the second step you assign your computers to the rooms in which they are located.

Step three: alarm circles

In the third and last step the alarm circles will be created.
The rooms created in step two will now be assigned to so called initator rooms. Those recipient rooms will then be alerted when a computer in the initator rooms initiates an alarm.

You can define a minimum amount of recipients in the alarm edition. Let’s assume that we initiate an alarm and at least 10 people have to be alerted; now there are only 5 people in the building and the minimum amount of recipients can not be reached. Escalation group:
You don’t only want to alert the security staff or the emergency group but also the police or an external security service? No problem! With the escalation group you can send out an E-Mail or SMS additionally to every alarm.

Automated Alerting - OPC

PC based Alerting/Evacuation

When defining emergency and evacuation strategies, it is essential to consider effective means for communicating the threat as quickly as possible to all persons currently located in the endangered building or area. Especially the ever growing number of PC based jobs calls for an extension of the previous concepts.

In addition to acoustic alerts, it is vitally important to effectively push the alert directly to each user’s individual PC screen as well. This is even more important when it comes to silent alerts!

Cordaware bestinformed® currently offers the quickest method of sending instant alerts directly to any number of PCs and in various formats. Next to the highly targetable distribution of information on threat and evacuation, it is also possible to instantly lock all screens, all at once!

Automation / OPC

For automating the alert-process, the bestinformed® interface MailToInfo is used. Incoming emails from alarm-systems, such as fire monotoring systems, are instantly transformed into screen alerts and are distributed to thousands of users within a few seconds. The email-alert is sent either directly from the alert-system or from an OPC-Client. The majority of currently used professional alarm- and security-systems offer an OPC-Server for providing the events platform independently.

Therefore, Cordaware’s bestinformed® instant-alerting supports all devices for which an OPC-Server is available.

Detailed recipient and connection overview with history

Recipients overview

In the Info overview you can check, if an Info has been sent successfully and who has received it. The button “Recipients” provides you a detailed view of all recipients with receiving date of the Info. Information about the Info clients like domain, computer name, etc. are shown additionally.

Detailed connection overview

By default, the Dashboard shows how many clients are currently connected to the Infoserver.
In the detailed connection overview you can see the connected clients with their attributes like username, IP address, etc.
A history of all previous clients connections is also available.

One-Time Info

The option “one-time” displays the Info only once per client, regardless how often user log on and off and what active time is set for the Info.

Winlogon and Taskbar caption

Notifications on the logon desktop

If no user logged in, this function allows you to display Infos also on the logon desktop, e.g. in case of emergency, error during login, etc.

TaskbarCaption

The TaskbarCaption can be used to display a task bar on the login screen.
An individual text or client information can be represented in this task bar through environment variables, such as the computer name or the computer ID.

Not closeable Info

This option offers you the possibility to restrict the closing of an Info by the recipient. In case of an alarm, where the recipient must leave his workplace, you can block his screen with an full-screen pop up. Thus, it is not possible for unauthorized third parties to access to computers and data.

Close by hyperlink

If the recipient clicks on an inserted hyperlink, the info can be closed. For example, if you want to have a reading confirmation for an Info from the recipient, which is defined behind the hyperlink.

Prioritized Master Info

With this option you give the created Info the highest priority and all other info on this client will be canceled.

Sound

With this function you can add a sound file to an Info. E. g. a siren in case of an alarm.

Channels

The client has the possibility to subscribe to a Channel. Those channels serve the creator of an Info as an additional form of addressing. This allows your users to decide for themselves whether to receive information about this channel, such as a newsletter.

Autoupdate

The Autoupdate function of Cordaware bestinformed automatically updates all clients, that are connected to the network, with new versions of the Info client.

Addressing clients dynamically / Monitoring

The dynamic addressing in Cordaware bestinformed forms the highest level of dynamic real-time information distribution. When sending a so-called dynamic Channel, information are no longer sent based on LDAP attributes or user groups, because the information will be sent through specific attributes. For example, a message to all users of a particular program or a message to all users of a running service and so on.
With the monitoring function, different attributes and processes of the client can be viewed and, if necessary, a message can be sent. Additionally, reports can be created with the help of the report app.

Guardian

With this app you can use a graphical user interface for the dynamic addressing of information of so called “Guardian”. You can switch between processes and window titles. At the same time, you can choose how to proceed with the process or the window. For example, running processes can be terminated and blocked. Among other things, you can shape your change processes significantly more effective. In addition, there is the option for the user to save his data before termination.

Domain connection (LDAP) / Group manager

The domain app contains following features among other things:

  • Registration of LDAP directory services and domains
  • Direct access to LDAP groups when sending an Info
  • Synchronization of LDAP groups with local bestinformed© groups, if needed
  • Designing Roles and Rights based on existing LDAP attributes (no second right management needed)

Team

With the App “Team” you gain all functions for displaying the client structure of your company. Besides the admin different roles with scale-able resources and rights can be defined here. The assignment of roles can be utilized with LDAP attributes which you can define with filters as you like. As a result your clients can log into the web interface and gain automatically the correct rights and resources.

Cluster

The new modular server architecture of Cordaware bestinformed 6 enabled the possibility to let the Infoserver, webserver and database operate independently. This app allows you to sum up as many bestinformed installations as you want into a cluster or grid. Thus, loadbalancing and high availablity of both computing and network as well as fail-safe security or also extern storage of your data is provided.

Remote maintenance of client configuration

With this feature you have the possibility to configure your clients through the Infoserver comfortably and easily. This will save up much time, because you don’t have to change the settings on every client separately.

Terminal server / Citrix virtualization

The certification and check trough Citrix confirms reliable and also easy usability of Cordaware bestinformed in connection with different visualizations or mixed environments. The functionality reaches from desktop / server virtualization to virtualization of applications with Citrix Xen-App.

Content management

With the help of content management, files of any type can be uploaded and managed on the Infoserver. This provides the files centrally on the server and can be distributed quickly and easily in a news-ticker or pop up.

Response

The Response app offers the possibility to answer on received Infos. These answers can be manually written by the user or predefined through a hyperlink.

Safetygroup

Safetygroup gives the opportunity to check and confirm an Info by a entitled group of recipients before sending.

Textfiles / Filegroups

If you are using groups from other systems, e.g. from external databases, this app will help you. Here it is possible to create and edit text files directly in the interface.

The app Concierge gives you the option to connect a few mobile mobile messengers to Cordaware bestinformed and send messages to those messengers. Through this your way of communication along the company can be designed more flexible. Messengers such as Telegram can be connected.

Chat

With this app you have the possibility to provide a chat to a certain group of people (for example your admins) for communication via Cordaware bestinformed. Participants can use the mobile client or the web interface for sending an receiving messages.

Statusinfo

StatusInfos offer an additional possibility to display Infos besides news-ticker and pop up. A window will be shown above the task bar including the defined status. Therefore you can inform your users about the current status of a maintenance without interrupting their workflow.

Pushbutton

With the Pushbutton app you can configure keys for the mobile client. The defined keys can be used for sending a stored template or an alarm.

Demand Group

Employees are reliably protected and warned of dangers and encroachments with the Cordaware bestinformed Alarm Edition. Normally all employees are assigned to fix workplaces and rooms. However, in certain constellations it may happen that employees change their location within a building. With the function of the Demand Group, these employees have the possibility to change certain master data dynamically, e.g. to transmit their current location to the alarm system. This ensures that they are always involved in the alarm circuits. In addition to location data for the alarm, any other feedback data from the users can be obtained.

Evaluation and reports

With the Reports app you get a complete overview over specific data of Cordaware bestinformed. With predefined templates you can create reports of your data, for example a statistic of every number of recipients from your last ten Infos.
